The Case for Doing It By Hand
There's something valuable that happens when a person has to sit down and type in a number themselves. They notice it. They see if it's up or down. They start asking why, right there in the moment, instead of scrolling past a green or red arrow on a dashboard.
Manual entry forces a closer relationship with your metrics. You can't enter a number you don't understand without at least pausing on it. Over time, that habit builds a sharper instinct for what's actually happening in the business, not just what the automated report says is happening.
This approach also works well for metrics that don't live neatly in one system, or for teams who are still figuring out exactly what they want to track before they invest in connecting it. Manual entry gives you flexibility while you find your footing.
The Case for Letting It Flow
When your numbers update automatically, you use your time differently. Instead of spending Monday morning re-entering last week's sales figures or copying data from one spreadsheet to another, you spend that time actually looking at what the numbers mean. Did that marketing push move the needle? Is the new sales process paying off? Automated data shifts your focus from gathering answers to asking better questions.
Integration also builds trust. When your numbers pull straight from your CRM or accounting software, everyone knows the number is right. No one wonders if the owner forgot to update the spreadsheet or fat-fingered a decimal. The data is the data, straight from the source.
And when your systems talk to each other, they stay in sync. A change in one place shows up everywhere it needs to, so your whole team is always looking at the same version of the truth.
So Which One Is Right for You?
Ask yourself: does this metric need speed and consistency, or does it need close attention? High-volume, frequently-updated numbers (like daily sales or website traffic) are often better off automated. Numbers that require judgment or context, like a Critical Number tied to a strategic shift, might benefit from someone manually checking in on them each week.
